Either you’re the employee or the consumer, we all became customers at some point of our time. Products and services are not all perfect that’s why Customer Service exist. It’s one of the most important service of a company that needs to be done carefully, excellent and passionately. It reflects the company’s services and customers’ impressions.

In today’s market, competition is very high in providing excellent services. The company product and services will not be complete without having an excellent customer service that the customers will surely need. Here are some important tips that can help in delivering excellent customer service.

Greetings. It is very important to start your conversation with a warm or welcoming greeting. Address your customer properly, in this way you are also starting to initiate a good mood during the conversation.

During the conversation you may address her with name which will be appreciated by your customer because the customer will feel more that the service is personalized. It’s also a best way to build a good rapport and showing a respect to your customer.

 


Listen Carefully

Listen Carefully. To deliver an excellent customer service, listening is a must. You must have a good comprehension so that you’ll understand what the customer’s concern is. This shows that your service is also customer focused. Every detail is important that you might also have to take note if needed. By listening you’ll be able to provide the right resolutions to your customers’ complains which will result to a best service once you resolve it properly.

 


Paraphrase

Paraphrase. Customers will give you the whole scenario of his/her concern like showing the picture of what happened. (E.g. Customer’s phone was stolen and she need to cancel her line because she’s afraid that someone may use that for international calls.) In able for the customer to feel that you understand and get his/her concern you can paraphrase what they told you regarding the scenario so the customer will know that you have been listening attentively.

 


Verification

Verifications. There are instances that we need to get the customer’s information. (e.g. Name, mobile number, credit card, etc.) In having a good record of your customer’s information you must verify by repeating the information given and let the customer verified or correct you should there be any missing information. This data will help you in delivering excellent service especially during cancellation or enrollment of any subscriptions.


Fast and Direct

Fast and Direct. You don’t want to keep your customers waiting while delivering your service. Put in mind that resolving customers complain as fast as possible is also important in their feedbacks. Customers want fast, direct and efficient service. No customers will like to wait longer just to have an excellent service.

Don’t forget that the most important in delivering an excellent customer service is to master your company’s product and available services. With this you’ll be able to provide the best solutions to your customers’ concerns. In any case that you are not sure or you can’t resolve the issue, don’t be afraid to seek assistance to your supervisor. This will also help you to avoid errors and other confusions. Lastly, be confident, be kind and treat your customers with respect. There’s no better reward than getting a good feedback from your customer after delivering your service.
